The steps required to memorize them to save time and repetitive data entry were reviewed, in addition to the importance of using Reminders if you plan to memorize bills.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.cpasitesolutions.com\/content\/newsletter\/images\/032021\/Fig1.jpeg\" alt=\"Figure 1 - QuickBooks provides templates that you can use when you\u00e2??re entering bills. You have to complete these forms before you can apply payment. <\/em><\/p>\n<p>This month, the next step &#8211; paying your bills &#8211; will be discussed. To do so, click <strong>Pay Bills<\/strong> on the home page or open the <strong>Vendors<\/strong> menu and select <strong>Pay Bills.<\/strong> The screen that opens displays bills that you&#8217;ve entered that need to be paid, and you can choose to list those due on or before a date you specify or all bills.<\/p>\n<p>By default, all vendors are represented in the table. If you want to only see bills from one specific vendor, click the down arrow in the <strong>Filter By<\/strong> field and select the correct one. You can also sort the list by any of a number of criteria, including <strong>Due Date<\/strong>, <strong>Vendor<\/strong>, and <strong>Amount To Pay<\/strong> by clicking the down arrow in the <strong>Sort By<\/strong> field.<\/p>\n<p>Once the table displays your bills the way you want, it&#8217;s time to select the ones you want to pay. You can either click the box in front of each item to make a checkmark or click on <strong>Select All Bills<\/strong> below the table. When you select one, the <strong>Amount To Pay<\/strong> field will change to reflect the <strong>Amount Due<\/strong>. If you can&#8217;t afford the whole payment, replace the <strong>0.00<\/strong> in the <strong>Amount To Pay<\/strong> field with your actual planned payment.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.cpasitesolutions.com\/content\/newsletter\/images\/032021\/Fig2.jpeg\" alt=\"Figure 2 - You can select individual bills to pay in QuickBooks or click on &lt;strong&gt;Select All Bills&lt;\/strong&gt; below the table.\" width=\"100%\" \/><br \/>\n<em>Figure 2: You can select individual bills to pay in QuickBooks or click on <strong>Select All Bills<\/strong> below the table. <\/em><\/p>\n<p>QuickBooks provides additional information in the table of bills to be paid beyond <strong>Date Due<\/strong>, <strong>Vendor<\/strong>, and <strong>Amount To Pay<\/strong>. You&#8217;ll see a column for a reference number, but there are other columns that can display vendor-issued discounts and credits that could be applied to individual bills. For example, vendors sometimes offer discounts for early payment, and credits can be issued to settle things like returns or overpayment.<\/p>\n<p><em>Warning: Working with discounts and credits is complicated. Please call if you need assistance. <\/em><\/p>\n<p>When you&#8217;re satisfied with the information in the table, look below it. Highlight a bill by clicking on it to see what your options are there. You can click <strong>Go to Bill<\/strong> to see the original form. If there are discounts or credits available, they will appear there as <strong>Sugg[ested] Discount<\/strong> and <strong>Total Credits Available<\/strong>. You&#8217;ll also notice that any discounts or credits will have already been applied in the table above. To change these, click <strong>Set Discount<\/strong> or <strong>Set Credit<\/strong>.<\/p>\n<p>Make sure the payment <strong>Date<\/strong> is correct and select the payment <strong>Method<\/strong>. If you select <strong>Check<\/strong>, you will have to choose between <strong>To be printed<\/strong> or <strong>Assign check number<\/strong> (for handwritten checks, you will be able to specify the number or let QuickBooks assign it in the next window). Select the correct payment <strong>Account<\/strong> and click <strong>Pay Selected Bills<\/strong>. A <strong>Payment Summary<\/strong> appears in the window that opens. You can either click <strong>Pay More Bills<\/strong> or <strong>Done<\/strong>. If you&#8217;re paying bills using more than one payment method, you would go back to the previous screen and repeat the process.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/www.cpasitesolutions.com\/content\/newsletter\/images\/032021\/Fig3.jpeg\" alt=\"Figure 3 - The lower half of the &lt;strong&gt;Pay Bills&lt;\/strong&gt; window.\" width=\"100%\" \/><br \/>\n<em>Figure 3: The lower half of the <strong>Pay Bills<\/strong> window.<\/em><\/p>\n<h3>Helpful Automation<\/h3>\n<p>As you saw in this example, QuickBooks applied discounts and credits automatically when you selected a bill. To set this up, open the <strong>Edit<\/strong> menu and select <strong>Preferences<\/strong>, then <strong>Bills<\/strong>. Click on the <strong>Company Preferences<\/strong> tab, which opens the screen for company-wide preferences that are established by the Administrator.<\/p>\n<p>Click in the boxes in front of <strong>Automatically use credits<\/strong> and <strong>Automatically use discounts<\/strong>. Then click on the down arrow in the field next to <strong>Default Discount Account<\/strong> to open the list. There should be an <strong>Income<\/strong> account labeled <strong>Discounts<\/strong>. Select this one, then click <strong>OK<\/strong>.<\/p>\n<p>QuickBooks provides three reports that help prevent bills from slipping through the cracks. Open the <strong>Reports<\/strong> menu and go to <strong>Vendors &amp; Payables<\/strong>, then <strong>A\/P Aging Summary<\/strong> and <strong>Detail<\/strong>, and <strong>Unpaid Bills Detail<\/strong>.
